Information for Multi-Academy Trusts

 

TimeTabler is trusted by some of the UK’s largest Multi-Academy Trusts.

If you are looking to introduce TimeTabler across your MAT, you will find some useful information and answers to frequently-asked questions relevant to procurement below.

1) What size of MAT / Group can you handle ?

We partner and support and work successfully with a wide range of MATs, all of which use TimeTabler (and usually Options) in all of their schools.
Our smallest MAT has two secondary schools, and our largest has over 40 secondary schools.

2) How can we decide if TimeTabler is right for us ?

There are several ways to learn more about our programs, and we also offer you the chance to “try before you buy”.

In TimeTabler, you can use the many drop-down top-menus like a browser if you wish to access the program’s many smart features.  However, we have also set up a 1-2-3-4 interface that allows you to go quickly to the relevant part of the timetabling process.

You can find an introductory video to TimeTabler, guiding you through the four main scheduling steps, here.  There are similar videos for Options and StaffCover.

Every staff member involved in timetabling in your MAT can download the Free Tutorial versions of TimeTabler, of Options, and of StaffCover.

If you would like to arrange for the Tutorial to be sent to several timetablers (eg. across multiple schools), please email ask@timetabler.com

3) Will my MAT receive a discount ?

MATs may benefit from special pricing, depending on the size of the MAT and the length of the contract.  Please contact ask@timetabler.com for more information and to receive a quote for your situation.


4) Will you link to my MIS / Admin System ?

TimeTabler has official import / export links with all of the main MIS / Admin Systems in the UK, and many more around the world.  (So if your MAT changes to a different MIS, your schools will still be able to use TimeTabler and Options.)

Once you have completed your timetable in TimeTabler, you can export it to your MIS (including, for example, Arbor, Bromcom, SIMS, iSAMS, and WCBS – we are official partners of all these MIS and many more).  For example, we have been SIMS Partners for over 20 years.

5) Can you migrate us from SIMS / Nova-T6 ?

Yes – hundreds of schools have moved from Nova-T6 to TimeTabler in recent years, and we can help you make the successful transition in a variety of ways.

This includes:

  • training from experts in both Nova-T6 and TimeTabler
  • help & support in learning TimeTabler
  • features you recognise from Nova, such as Alternative Curriculum
  • we can even transfer your existing Nova-T6 timetable into TimeTabler for you.

6) What features do you have to specifically help MATs ?

TimeTabler has features / analyses / reports for all of the timetabling areas that a progressive MAT or Group is interested in: flexible working, part-timers, the quality / optimising of the timetable (for staff and for students), Staff audit / statistics, Teacher Well-being, Student Experience, etc.

And our Options software includes student ‘review & counsel’, gender-bias analysis, feasibility reporting, student requests, etc. It is also the best software to look for staff savings to save money; see the PDF here for more details.

7) What training will be provided for timetablers ?

Timetablers who are new to TimeTabler will benefit from the “Gold-Start” Enhanced Support Scheme.

Gold-Start is included for free with new purchases of TimeTabler and Options and provides new timetablers with tailored support to allow them to get started quickly and easily.  You can find more details about Gold-Start, here.

You can also purchase additional training, provided by our expert Associates, throughout the year.

Details of upcoming courses are included in the monthly TimeTabler NewsLetter.  You will be added to the Mailing List when you purchase TimeTabler, but you can also sign-up in advance, on this page.

8) What Support can you offer once we are using TimeTabler ?

TimeTabler and Options Users have access to a wide variety of Help and Support, intended to provide both a foundation to using our programs, and to solve specific problems that may arise during scheduling.

Our Support includes HelpMovies, the program Manuals, a KnowledgeBase, and the Support Centre.  The average response time on the TimeTabler Support Centre is less than two hours, and all questions are answered by our timetabling experts.

Basic Data

This shows the Main Menu, and Step 1 : the Basic Data screen, with five big buttons.

Each button leads you to an entry screen.

To enter your data you would start at the left, and work your way across to the right.

Look how straightforward it is, compared to other programs !

And the fully-illustrated printed Manual explains each step, in detail.

 

Subjects Screen

This is the screen for saying which Subjects you will want to timetable.

You can return here at any time to edit / alter your data.

You can give each Subject a colour – this helps during scheduling, and for the printouts.

Visual Builder Screen

This is the main screen on which you do the actual scheduling.
You can sit at this Visual Builder Screen and drag-and-drop to ‘drive’ through the timetable.

This shows you the Class Timetables, so you can see the pattern while you are scheduling lessons.
  
There are similar screens for the Staff Timetables and for the Room Timetables.
 
If you use dual monitors you can see these more easily and spread them out over the bigger area.

All the buttons, and the symbols, are explained when you click on the button.

The Printout Menu

This shows you some of the possibilities for the Printouts.
 
Within each of these, there are millions of ways of fine-tuning the exact design of the Printouts.

They can be printed on paper, or produced as web-pages, at the click of a button.

This shows you the Preview Screen , so you can design the ‘master’ Class printout, before printing it.
 
There are similar screens for the Staff Timetables and for the Room Timetables.
 
You have total control over the design, the font and the colour, the column widths, the labels, etc, etc.
